Title:Intake Specialist

Facilitate and complete intakes by telephone and in person to assess applicants for appropriateness for entry into the addiction services program tracks.

Essential Duties:

  • Client Orientation
    • Welcome and Orient new residents to the YWCA Addiction Treatment Services
    • Complete initial client intake and obtain needed admission information
    • Obtain proper consent to release forms to communicate with referral sources (i.e. probation, parole, Department of Children Services (DCS), Community Corrections)
    • Complete portions of admissions packets and admissions process not requiring Case Management, including, but not limited to paperwork, assigning a room and a bed, and searching client belongings
    • Follow up with new residents during the first week to ensure their needs are being met.
    • Complete clear Progress Notes documenting client interactions
  • Program Intake Processes
    • Monitor compliance and maintain a waiting list to ensure program beds are filled.
    • Ensure the occupancy for addictions treatment beds remains at 100% capacity.
    • Responsible to achieve target client population numbers for program revenues
    • Maintain and update database records of client data information
    • Assemble and maintain current census with necessary documents for billing purposes
    • Report census levels to administrative staff on a weekly basis, including, but not limited to number of clients by program and referral source
    • Notify all impacted staff of upcoming intakes and ensure that facilities are prepared for client entry
    • Ensure tracking of referral source beginning at intake
    • Coordinate with referral sources for client’s recovery services
  • Serve as Staff Liaison to DCS
    • Promote the program to the Courts and the Indiana Department of Children Services Family Case Managers
    • Maintain a regularly updated contact list of Indiana Department of Children Services Family Case Managers to ensure ongoing follow up
    • Ensure timeliness and accuracy of reporting to DCS through coordination with client case managers
  • Maintain addictions treatment program records of outcomes for  grants reporting
  • Answer phone calls and if not intake related, transfer to the appropriate party
  • Other duties as assigned to meet the organization's goals.


  • Associates degree preferred. Equivalent education and experience will be considered.
  • CPR and First Aid Certifications. To be obtained within first year of employment.

Knowledge and Experience:

  • Knowledge of substance use and chemical dependency and their effects on women and families.
  • Proven ability to effectively and respectfully interact with diverse populations, including clients, co-workers, and agency.
  • Strong customer service skills with the ability to communicate in a professional manner with a wide range of people. Unequivocal commitment to pluralism.
  • Ability to exercise independent judgment and discretion when handling potentially confidential or sensitive manners.
  • Strong time management skills; ability to take initiative to solve problems and work with minimum supervision.
  • Proficient in Microsoft Office including Outlook, Word, and Excel.
  • 1-3 years of general office experience, including reception and telephone duties.
  • 1-3 years of experience with general office equipment (copiers, printers)
  • Accurate, organized, and detail-oriented, with the ability to work under pressure and shift priorities in response to changing needs.
  • Ability to keep accurate records and files
  • Must comply with the organization's policy of automobile insurance: must have a valid driver’s license and personal automobile insurance coverage.
  • Flexibility to change work hours as needed.

Physical/Mental Essential Requirements:

  • Walking, standing, bending, stooping, reaching, moderate lifting and carrying (up to thirty (30) pounds).
  • Full range of body motion including manual and finger dexterity and eye-hand coordination.
  • Requires corrected vision and hearing to normal range.
  • Ability to sit at a computer work station for extended periods of time.
  • Occasional need to stand for long periods of time.
  • Ability to focus on detail and accuracy of work product.
  • Work  is  performed  primarily  in  a  non-smoking office  environment,  though  travel  may  expose employee to inclement weather conditions.
  • Occasional high stress may be experienced in dealing with clients, staff and volunteers.
