Position Summary:

The Administrative Assistant to the Pastors is responsible for supporting the pastors in the performance of their responsibilities. This requires maintaining complete confidentiality, assisting as needed in crisis situations, and serving as a helpful and caring assistant to interface with the congregation and the pastors. Attention to detail, good computer skills and a motivation to excel are expected. This full-time position reports to the Senior Pastor.

Primary Responsibilities:

Assistant to the Senior Pastor (15 hours weekly)

  • Assist with schedule planning and calendar management [for various ministry responsibilities including New Members, Baptismal Festivals, First Communion, and related pastor-involved activities
  • In conjunction with the Director of Communications and Community Engagement, assist with the coordination and growth of the various relationships Trinity has throughout the wider community.
  • Assist with a variety of communications and correspondence.

Assistant to the Associate Pastor/Pastoral Care Department (20 hours weekly)

  • Assist in data entry and tracking in various areas related to those involved with and receiving pastoral care. This includes areas such as member hospitalizations, keeping accurate lists of those in various care facilities, helping to identify those who have received ministry as well as those who could benefit from visits, etc.
  • Assist in keeping accurate records of those engaged in the various ministries of the Pastoral Care Department such as Eucharistic Ministers, Caring Ministry Meals, Altar Flower Delivery, Card and Note Ministry (currently via Deaconess Ministry), Grief notes and books, Towne House lunch/Holy Communion overseer, Prayer Shawls and the like.
  • Maintain accurate lists of those hospitalized as well as the weekly prayer list of the parish.
  • Work in consultation with Pastor of Pastoral Care to provide ministry resources as needed and useful for various recipients of Pastoral Care to facilitate means by which ministry recipients might also be ministry partners.

Bulletin Production and Oversight (5 hours weekly)

  • Be responsible for producing (drafting, revising, producing) bulletins for the various worship liturgies at Trinity English.
  • Interact with the other staff, board members,members and visitors on a daily basis

Education and Experience:

  • Minimum of high school diploma or GED, with preference for associate or bachelor’s degree.
  • Minimum of 2-4 years experience as an administrative assistant in a position where confidentiality is key and showing progressive responsibility and skills.
  • Must demonstrate strong working knowledge of computers and proficiency in software programs, including Microsoft Office, database systems and use of the Internet, with a working knowledge of standard office equipment such copiers, faxes, multi-line phones, and calculators.

  • Maintain a vital and growing personal walk with God through committed Bible study, prayer and reflection.
  • Must have a heart for the ministry of Trinity English Lutheran Church and the desire to aid the pastors in fulfilling their responsibilities.
  • Have the ability to work with key volunteers and nurture their involvement in Trinity's ministry.
  • Needs the gift of hospitality and offer a helpful, cheerful, diplomatic and caring servant attitude to all.
  • Have strong organizational skills and the ability to prioritize and multi-task, using good time management skills in a fast paced environment.

Compensation and Benefits:

The Administrative Assistant is a 40 hour per week position that is paid hourly. A generous benefit plan is provided including health, dental, life and disability insurance, a 403(b) retirement plan with employer contribution, paid holidays and paid time off.
